Booking Policy

This booking policy outlines the terms and conditions for booking a mountain bike tour with Unexplored Ladakh, operating in the Ladakh region. By confirming your booking, you acknowledge and agree to these terms.

Booking Process:

Enquiry & Consultation:

• Contact us via our website, email, or phone to enquire about available tours and dates.
• We will provide detailed information about the tour itinerary, difficulty level, pricing, and required equipment.
• We will assess your riding ability and experience to ensure you are suitable for the chosen tour.

Provisional Booking:

• Upon confirmation of your interest, we will hold a provisional booking for 1 week.
• This provisional booking is not confirmed until advance deposit is received.

Deposit Payment:

• A non-refundable deposit of 20% of the total tour cost is required to secure your booking.
• The deposit can be paid via bank transfer, online payment.
• Confirmation of your booking will be sent upon receipt of the deposit.

Final Payment:

• The remaining balance of the tour cost must be paid 10  days prior to the tour start date.
• Failure to pay the balance by the due date may result in the cancellation of your booking and forfeiture of your deposit.

Cancellations & Refunds:

Cancellation by the Client:

• Cancellations must be made in writing (email is acceptable).
• Cancellation fees will be applied.
• No refunds will be given for unused portions of the tour due to late arrival, early departure, or voluntary withdrawal.

Cancellation by Unexplored Ladakh:

• We reserve the right to cancel a tour due to unforeseen circumstances, including but not limited to:
  • Adverse weather conditions.
  • Safety concerns.
  • Insufficient participant numbers.
  • Force majeure (natural disasters, political instability, etc.).
• In the event of cancellation by us, you will be offered:
  • A full refund of all payments made.
  • The option to reschedule the tour to an alternative date (subject to availability).
  • An alternative tour of equal or similar value.
• We will not be liable for any consequential losses incurred by the client due to tour cancellation.

Tour Inclusions & Exclusions:

Inclusions:

• Accommodation as specified in the tour itinerary.
• Meals as specified in the tour itinerary.
• Experienced and certified mountain bike guides.
• Support vehicle and driver.
• Internal transportation as specified in the tour itinerary.
• Permits and entry fees as required.
• Basic First Aid Kit.
• Bike mechanic support for basic repairs.

Exclusions:

• International or domestic flights to and from Ladakh.
• Visa fees.
• Travel insurance (mandatory).
• Personal mountain bike and equipment (unless rental is arranged).
• Personal expenses (souvenirs, drinks, snacks, etc.).
• Tips for guides and support staff.
• Emergency evacuation costs.
• Advanced bike parts.

Travel Insurance:

• Comprehensive travel insurance is mandatory for all participants.
• The insurance must cover:
  • Medical expenses, including emergency evacuation.
  • Personal liability.
  • Trip cancellation and interruption.
  • Loss or damage to personal belongings.
  • Mountain biking activities at altitude.
• You must provide proof of insurance prior to the tour start date.

Health & Fitness:

• Mountain biking in Ladakh involves strenuous physical activity at high altitude.
• Participants must be in good physical condition and have a reasonable level of fitness.
• We recommend consulting your doctor before booking to ensure you are fit for the tour.
• You must inform us of any pre-existing medical conditions or allergies.
• Altitude sickness is a possibility in ladakh. We will provide information on how to minimize your risk, but we are not medical professionals.

Liability:

• Mountain biking is an inherently risky activity.
• Participants acknowledge and accept the risks involved.
• [Your Company Name] will not be liable for any injury, loss, or damage sustained by participants during the tour, except in cases of gross negligence.
• Participants are responsible for their own safety and the safety of their equipment.
• Participants must follow the instructions of the guides at all times.

Equipment & Bike Rental:

• Participants are responsible for bringing their own well-maintained mountain bike and equipment.
• Bike rental may be available upon request, subject to availability.
• Rental bikes will be inspected and maintained before each tour.
• We can provide a detailed equipment list.

Changes to Itinerary:

• We reserve the right to modify the tour itinerary due to unforeseen circumstances, including but not limited to:
  • Weather conditions.
  • Road closures.
  • Safety concerns.
• We will make every effort to provide an alternative itinerary of equal or similar value.

Photography & Publicity:

• We reserve the right to use photographs and videos taken during the tour for promotional purposes.
• Participants who do not wish to be photographed or filmed must inform us in writing.

Governing Law:

• This booking policy shall be governed by and construed in accordance with the laws of India.
• Any disputes arising from this booking policy shall be subject to the exclusive jurisdiction of the courts in Leh Ladakh.
